GUILD RULES
Our shared expectations help everyone feel welcome and keep play enjoyable across Guild locations and hosts.
Every experience level and background is welcome. Play honestly, respect game outcomes, share the spotlight, and handle wins and losses graciously.
Respect personal boundaries, hosts’ homes, and shared spaces. Ask before entering private areas, clean up after yourself, and keep devices quiet. Harassment, discrimination, bullying, threats, and retaliation are prohibited.
The Handbook applies to members and guests across game types, locations, and hosts. Follow venue rules and any event requirements communicated by your host.
BEFORE YOUR FIRST VISIT
A plain-language summary of the Participant Handbook, version February 8, 2025. Contact the Arcanoarchaeologist for the full handbook and current membership details.
New participants may attend as guests with no obligation. A first visit is recognized as Drifter, a second as Nomad, and a third as Pilgrim. A Pilgrim may remain a guest for as long as they choose.
Paper registration is voluntary. Once a Guild administrator verifies it, the administrator assigns the appropriate recognition and issues a private portal invitation.
RSVP early and follow the host’s deadline. For one-time and special events, the handbook calls for an RSVP at least 14 days ahead, with event or meal costs paid when reserving. Recurring and pop-up events have different arrangements; check with the host.
Arrive on time and notify the host if you expect to be more than 15 minutes late. Report planned absences at least 10 days ahead, and planned vacations affecting recurring games at least 30 days ahead. Report emergencies as soon as possible. Food costs are not refunded for cancellations after the 10-day cutoff.
Limited-seat events give Waykeepers priority over Wanderers; remaining places are generally first-come, first-served. Invitation-only events require a direct invitation: do not share private event details or bring uninvited guests.
Participants cover their own public-venue entry fees and other announced costs. Private-residence gatherings have no attendance fee. Meals are optional, and any meal arrangements and prices must be confirmed in advance. Bring your own food only when the venue permits it.
Tell the host about allergies or dietary needs before the event, confirm food plans when RSVPing, and review ingredient labels. Hosts provide drinking water; participants otherwise plan for their own food and drink needs.
Do not share another participant’s personal or confidential information without permission. Photos, recording, and livestreaming during play require permission from everyone involved. Public sharing also requires advance approval from Guild management and those pictured or recorded.
Silence devices, avoid distracting browsing, and ask before using someone else’s device. Check whether your game requires a laptop, tablet, software, or other equipment. Discuss accessibility or medical device needs with the host or Guild leadership.
Alcohol is allowed only at designated 21+ events, in moderation, subject to venue restrictions. Respect non-drinkers. Smoking and vaping are prohibited indoors and at the gaming table; follow designated outdoor areas and the handbook’s 25-foot separation from doors, windows, and vents. Marijuana is prohibited at Guild events.
Ask the host before bringing a pet; resident pets may be present at private homes. Service animals are welcome and must remain under control. Notify the host of pet allergies and do not distract service animals.
Weapons are prohibited at Guild events, with limited handbook exceptions for approved props, practical pocket tools, and controlled activities such as archery. Confirm any exception with Guild leadership and follow stricter venue requirements.
Bring misconduct or safety concerns to Guild management promptly, ideally within 48 hours. Share the date, location, what happened, and any relevant evidence. Anonymous reports are allowed but can limit investigation. Reports are handled confidentially as far as investigation and other obligations allow; retaliation is prohibited.
Resolve disagreements respectfully and privately, asking leadership for help when needed. Serious or repeated policy violations may lead to suspension or removal. Check event updates before travelling: weather or venue issues can lead to delays, relocation, cancellation, or an online session. Tell the host if conditions prevent safe attendance.
Membership begins with paper registration verified by a Guild administrator. Registered participants receive a private portal invitation after verification.
